Community Education Payments
Some VECs have asked us to allow for the recording of monies collected for Community Education courses and the reporting on same.

Monies can be recorded under the P link for each module. If you wish to only record monies for the overall course you should just select the first module.

You search for your course.

1. You click on the relevant module or component
2. You click Module / Component Actions
3. You click the “View payment details of Participants link.



The following screen will appear and you can fill in details of payments due, payments made, any waivers and it will calculate the amounts outstanding for each participant.



The above facilities are currently available on all programmes.

New facility

We have now brought these payments across to the individual learner screen. The total paid and any amount outstanding will be displayed on the Courses tab for the Learner as shown below.



We have also built a new reconciliation report. To access this report you would click on the Reconciliation Report link on your homepage.

This will open a new filter screen where you can select the dates and courses you want to report upon as shown.



Below is a sample of the report that would generate. It includes a total at the bottom.

Social Welfare Letters
New BTEI Social Welfare Letters
We have developed two new Social Welfare template letters. We have included them as new links in the Report Generator screen in order to allow maximum flexibility when filtering Learners.

Social Welfare Offer Letter

You would filter your learners based on whatever criteria you wish. Typically if you are generating Offer letters for all the students in your class you would select the Course and Module in the dropdown list at the bottom of the Report Generator screen.



A new window will open and you will be prompted to enter your Job Title and name. You also have the option of ticking the "Show Timetable" tickbox.

If you tick this box then the details of the module or modules will be included along with the Course details.

The course details would be a summary while the modules would give details of start and finish time for each class.

The letter is shown on the next page and it includes todays date, the name & address of the Learner, the learners PPSN, details of the Course and the module (if you have ticked the box) and the name & job title that you entered.



If the number of students you filtered was 15 then it would print out 15 letters. If you need just one letter then you can highlight the text you need to copy and paste it as text into a Word document.

The instructions for doing this are:
  1. Highlight all the text you need to copy for the letter, and copy it by holding down the CTRL button on your keyboard and hitting the letter C.
  2. Open Microsoft Word and paste the text into the letter by clicking the Paste icon in Word and then the Text only option as highlighted across.


The Second report "Social Welfare Registered" is generated in a similar way, but the wording is confirming their attendance on the Course.

The differences are highlighted below.



This second report just includes the Course details rather than the detailed modules which would be needed more at set up stage.

ESOL

This is a new product that can interface with the existing Adult Education System. Prospective ESOL students can link to the system through the main VEC website for example or you can have your own URL that can be promoted locally. The student currently has the option to register their details in English, French, Polish or Hungarian. We plan to introduce other languages to the system.



The student then enters their details. An email address or a mobile phone number is mandatory. They express their preference for location of class, day of week and time of day.



Once registered they are brought to an instruction page in their own language telling them about the test which they then proceed to.

This is an 80 question test that has been developed in conjunction with Wexford VEC. (John Curry ESOL Service Co-Ordinator)

Depending on the number of questions correct the student is allowed to proceed to the next 20 questions. If they only get 10 out of 20 then the student no longer proceeds and the student is automatically graded at the A0 English language level. They will be graded into the other grades (A1, B1, B2 etc) depending on how they get on.



Once they complete the test they are automatically sent an email in their chosen language giving them further instruction.

The administrator can then view how many Learners at say level A0 want to attend ESOL class on Saturdays between 10 and 1 in Ennis. They then click a button and these Learners are all assigned to the relevant class.

Before the class commences, the administrator then clicks another button and the Learners for that class all get a text message telling them of their start date, time and venue for the class.



Following each class the tutor updates the system to say who has attended or not. From this information, the system can show who has reached the 80% attendance rate over a period. Those who did not can be group sent another text advising them that they will not be able to continue if their attendance does not improve.

RPAL to record learning history
Fully record Prior Learning with new RPAL feature
We have developed the facility to allow the recording of Recognition for Prior Accredited Learning (RPAL).

You just select the Date, the Subject, the Accrediting body and the Results. You can also record comments relating to such prior learning.



This gives a more complete picture of the Learning History for the Learner. It displays as an extra tab on the Learner screen.

The RPAL details that you enter for a learner will be included in the Learner Profile Report, giving you details of current and previous training.



There is already a facility to print off the Learner profile for an individual Learner. This new RPAL facility has now been included at the bottom of this report, giving a complete picture of the Learner - their profile, what courses they have done in the programme and now what RPAL they have.


The cost of this feature is €250 & vat per programme or €500 & vat for the whole VEC.

Background:

There is a facility on the Learners Course tab which says "View History". This will display what courses the learner has undertaken in other programmes within your VEC. The default setting for this service is that courses from all programmes apart from Adult Literacy are included in this feature. This was for confidentiality reasons and if you want Adult Literacy to be included you should contact SalesPulse.

New Search:

We have now developed a new Learner search facility across all programmes which searches by the learners name. The results will show the name and address of the learner so that you will be able to identify any duplicate entries.



Learner alphabetical search facility

When you click on the Show Courses link it will display what courses that learner has done and will also display which programme they did them in.
