Updates to Adult Education January 2014

The following changes have been made to the Adult Education system.

There are a number of layout and navigational changes that we hope will help when completing the Annual Returns. We appreciate users are in the process of doing the returns right now but the changes are the result of recent feedback and suggestions.

General for all Programmes

From an individual learner’s screen, on the Course tab you can now update completion details for that person’s courses. Normally you used to update this Course Completion information from the “C” link in the module screen. You can still update it there but now you have the choice of updating it from an individual learner’s screen.



When entering results in the C link for a module the dropdown list has been reordered to have the more common entries such as Merit, Pass, Distinction, Success etc. appear at the top of the list.

The name of the button on the Learners Course tab has been changed from "Assign to Module" to "Assign to Course / Module"


On the Course Completion link on Courses we have put a box around the key Course Completion fields highlighting the fields that would normally be filled in at the end of a course.



VTOS

The dropdown entry “FIT” has been added to the referred from dropdown list.

All of these such fields have been grouped with a box around them on the Learner’s Profile tab on the learner screen.

Youthreach

We have updated the Youthreach returns to the latest format from the Department of Education & Skills. This has had the following implications in the system.

Table 4:

“Junior Cert 1-2 Subjects” and “Junior Cert 3-4 Subjects” are being merged into one option called “Junior Cert (1-4 subjects)” So you continue to add in as normal and it will be summarised in the way the department require it.

Table 5:

A new option “Entered directly after dropping out of school” has been added to the Economic Status table and this will be included in Table 5.

Table 6:

The dropdown entry “Substance misuser” has been removed from the Analysis of Learner dropdown list.. Any existing learners with that option have been updated to “Other”.

Table 7:

The following options have been updated in relation to Table 7.

The option “Education” has been changed to “Other Further Education”.

The option “FAS/Skills” has been changed to “SOLAS”.

The option “Apprenticeship” has been removed. Any existing learners with that option have been updated to “SOLAS”.

- The option “Training” has been removed. Any existing learners with that option have been updated to “Other Further Education”.

Table 8:

The option “Community Issue” has been removed from the Reason for Leaving. Any existing learners will be changed to “Unknown”.

Table 10:

The dropdown list used for Table 10 has been updated quite extensively. The previous list is shown on the left and the entries that these have been updated to is shown on the right.

Table 12:

The word “FETAC” in all options has been updated to “QQI”

Bug fix

The total number of hours was not automatically refreshing after you added a new module. This is now refreshing automatically.
Update to VTOS Returns
2012 VTOS Returns



We have recently been informed of a number of small edits to the 2012 VTOS Survey, and have carried out the changes in the system.

Details below.

Table 4 - Job Seekers Allowance and Job Seekers Benefit are now separated onto two different pages.

Table 4. The Dependent Spouse entry has been added to the Economic Status dropdown.

Table 11. Third Level Course has been renamed to Higher Level Education.

Table 11. Rural Social Scheme has been combined with CE Scheme for reporting purposes.

Table 11. Training Course has been renamed to Fa´s Training Course.

Table 11. Back to Work Scheme has been combined with Enterprise Allowance Scheme for reporting purposes. It is now reported as BTWA / Enterprise Allowance.

Table 11. Original Status has been combined with Live Register for reporting purposes. It is now reported as Live Register / Original Status.

Table 11. Social Economy Programme is no longer being reported upon. Any existing entries will be reported as "Other".

Table 11: If a learner has finished a course between 1st April and 31st July and they have progression then their progression will still be counted even if the learner is now archived. They are classified in table 11i or 11ii depending on their "Year On" field in their profile.

Table 12 no longer requires a breakdown of where Early Leavers have gone and it only lists the totals by gender.
Course Structure and Timetable Upgrade


We are carrying out a major structural change to the way courses are recorded

To date you simply entered a start date and a finish date for a course and the system assumed that the course ran every day. This meant that the system could not accurately take account of holidays or days the course was cancelled.

Key advantages of this upgrade:

• You can set up course hours more accurately
• You can replace any particular class with a different tutor
• The timetables, which we have also updated are more accurate
• The hours actually taught which feed into returns will be more accurate
• This upgrade will pave the way for an online Claims/Payment facility for Tutors, where a tutor can sign off the hours taught and have digital approval by the course co-ordinator, the HR Manager and Accounts Manager.

Youthreach Communication
We are working on a Youthreach facility which will allow users to send texts and to draft letters which can be sent to either the youths or to their gaurdians. We will be allowing any number of contacts for the individual youth such as parents, relations and guardians.

Moodle Integration
We are developing a facility that will allow you to download all learners from a class for automatic import into Moodle.
Assigning Tutors to modules
Streamline the setting up of Tutors
We have improved the navigation for tutors and when you click on an individual tutor you will see three tabs as highlighted below.



The first tab is tutors meetings where you can record any meetings or contacts that are held with the tutor.

The next tab is the courses tab which used to be displayed at the bottom of the tutors screen. This displays the modules and courses that the tutor is actually teaching. There is a "Show All" button at the bottom which will display the courses that the tutor previously taught.

The final tab is to show what subjects that the tutor can teach. Instead of listing all modules in this list you can now filter the components by FETAC level and Category to assist in finding the relevant components for the tutor.

FETAC
Transfer your data to FETAC Business System (FBS)
This is the facility that SalesPulse have developed in order to allow student data and results to be transferred from the SalesPulse system to the FETAC Business System (FBS). This will result in less duplication of entry. Note the new Component structure that most VECs purchased is required for this interfave with FETAC.

Countywide Analysis
Report Generator across all programme for key management info
If you have access to the county wide function you will be able to Click on the Countywide link at the top of the page. You then click on reporting & Report Generator and the following screen will appear.



The Report will display as follows



Because the different programmes such as BTEI & Adult Literacy etc. analyse fields such as Age Range or Education level in a different way, we have created a mapping to allow for common reporting across the programmes. Here are the details of the mapping.
